Is OutcomesIT POPIA compliant?
Independent technical security review by a cybersecurity expert confirms OutcomesIT meets sufficient security POPIA compliance.
Is OutcomesIT Secure?
We have implemented technical security measures that are designed to protect both the personal and sensitive information of registered users and patients from unauthorised access, disclosure, use, and modification.
We have Restricted level user access and view.
All traffic to and from the site is encrypted using SSL with 256 bit encryption .
2 Factor Authentication (2FA) upon login. Logins enforce strong password protection. Users are locked out after 5 failed login attempts. All failed login attempts are logged and monitored. Patient confidentiality – search view by patient surname, name and redacted identification number limited to patients within your practice/clinic.
Any file transfer using FTP protocol use secure connections and file content is encrypted where required. This applies to an agreed FTP protocol with certain pathology laboratories.
Prompts consent requirement between health practitioners when transferring patient files from one practitioner to the other and or when sharing patient files between health practitioners within a team.
Scripts include QR code and AES for scheduled medicines which can be used by the pharmacist to verify the script.
- Any data stored using 3rd party service providers have been verified to comply with international best practice and security requirements.
- The data and/or information, including the Practice Information, the Personal Information, and the Medical Information is stored electronically on a secure server.
- The secure database is encrypted and backed up regularly in the cloud. Access is restricted and limited by IP address.
How secure is the patient data?

Is it compatible with tablets and mobile phones?
Yes. OutcomesIT is compatible with most entry level devices, including desktops, laptops, tablets, and smartphones, both Apple and Android. However, for the best user experience—particularly when viewing detailed information or working with multiple windows—we recommend using a device with a larger screen. While the program will function on smaller screens, certain features may be easier to navigate on larger displays.
Is there a backup system in place?
Microsoft have geo-diverse backups. We have hourly backups going back 1 month.
How much training is required to use it effectively?
Training needs vary by role, but most staff need 1 – 2 hours of initial training. We offer ongoing support. There are also manuals and videos available on request.
Can OutcomesIT integrate with laboratory and pharmacy systems?
Yes, your laboratory mnemonics can be linked and pathology results pulled through to patient files automatically. Scripts can be sent through the system to pharmacies.
Does OutcomesIT function when there's no network?
OutcomesIT has a document sharing app that is completely free for our users, that enables you to upload notes or images taken during network outages directly to a patient’s file retrospectively. There is also an offline mode currently in development which will give users access to patient info and previous notes, even during a network outage.
How customizable is OutcomesIT to suit our clinic’s corporate image?
Scripts and sicknotes can be customized to use your own letterhead or small artwork.
Can we migrate existing patient records into OutcomesIT?
Depending on how data is currently stored, it can be migrated. Our document sharing app makes it easy to upload documents in a variety of formats or from 3rd party note taking apps easily to patient files. CSV or Excel files can also be migrated.
Can I change my subscription plan?
Yes, you can change your subscription plan at any time by emailing us at info@outcomesit.co.za
What payment methods are accepted?
Payments are accepted via debit order, credit or debit card – Payfast.
When will I be charged?
You will be charged at the beginning of each billing cycle—monthly or annually, depending on the plan you chose.
How do I cancel my subscription?
You can cancel your subscription anytime by emailing us at info@outcomesit.co.za
Once cancelled, you’ll continue to have access until the end of your current billing period. There is an extraction fee to extract your data from the program and return it to you. No further charges will be made unless you reactivate your subscription.
